Visio stencil and Template

A Visio stencil and template contains the shapes that were created in order to draw diagrams according to the development standard.

 

Colours

 

1 = Jade;  RGB ( 63, 122, 141)

2 = Orange;  RGB (255,153, 51)


3 = Blue;  RGB (0, 102, 153)


4 = Green;  RGB (120, 148, 64)


5 = Maroon;  RGB (153, 51, 102)

Enterprise View

 

  • Colour 5 (maroon) is used for strategic/management processes/functions

  • Colour 3 (blue) is used for operational processes/functions

  • Colour 4 (green) is used for support processes/functions

  • Size of blocks will depend on the size of the view, but consistency is required.

  • The font used is Arial, size 8, bold, white

  • Shadow offset = 2mm

  • Shadow colour 16 (on Visio palette)

  • Rounded arrow lines = 5mm rounding

 

High-level Diagrams Indicating Flow

 

  • Colour 5 (maroon) is used for strategic processes/functions for this function

  • Colour 3 (blue) is used for operational processes/functions for this function

  • Colour 4 (green) is used for support processes/functions for this function

  • Size of blocks will depend on the size of the view, but consistency is required for the diagram and the system.

  • The font used is Arial, size 8, bold, white

  • Shadow offset = 2mm

  • Shadow colour 16 (on Visio palette)

  • Rounded arrow lines = 5mm rounding

 

High-level Diagrams not Indicating Flow

 

  • Size of blocks will depend on the size of the view, but consistency is required for the diagram and the system.

Flow Diagram Shapes  
Start and Terminator

The start and end of a process is indicated by the same shape. 

 

The start shape contains the name of the process. 

 

 

  • Text = All words start with capitals except conjunctions and similar words (e.g."and", "with", "the", "to")

  • Height = See flow diagram spacing

  • Colour = 1 (22;158;177)

  • Font = Arial, size 8, bold, white

  • Shadow offset = 2mm

  • Shadow colour = 16 (on Visio palette

 

The termination shape contains the word "End".

 

 

  • Height = 5mm

  • Colour = 1 (22;158;177)

  • Font = Arial, size 8, bold, white

  • Shadow offset = 2mm

  • Shadow colour = 16 (on Visio palette)

 

Process Step

The process steps contain the position/designation of the responsible person/s, followed by a colon.  The description of the step starts on the next line.

 

 

  • Text (responsibility) = words start with capitals except conjunctions and similar words (e.g. "and", "with", "the", "to")

  • Text (description) = sentence format

  • Height = See flow diagram spacing

  • Colour = 1 (22;158;177)

  • Font = Arial, size 8, bold, white

  • Shadow offset = 2mm

  • Shadow colour = 16 (on Visio palette)

 

Decision or Checkpoint

The diamond shape shows a decision or checkpoint.

 

 

  • Text = sentence format

  • Height = Text must not appear outside shape

  • Colour = 2 (Orange)

  • Font (shape content) = Arial, size 8, bold, white

  • Font (text on arrow lines) = Arial, size 6, bold, italics, black

  • Shadow offset = 2mm

  • Shadow colour = 16 (on Visio palette)

 

Sub-process Step 

The sub-process shape contains the name of a sub-process.  A link is made from this shape to the appropriate sub-process.

 

 

  • Text = All words start with capitals except conjunctions and similar words (e.g. "and", "with", "the", "to").

  • Height = See flow diagram spacing

  • Colour = 6 (63;122;141)

  • Font = Arial, size 8, bold, white

  • Shadow offset = 2mm

  • Shadow colour = 16 (on Visio palette)

Buttons

The default properties of buttons are listed below.  This serves as a guideline as some buttons may require different properties. 

 

  • Width = 9mm in Visio

  • Height = 7mm in Visio

  • Colour = Colour 6 (63;122;141)

  • Pattern = 35, white

 

The purpose and use of buttons used in the IBMS is as follows:

 

  Name Button Purpose
  Abbreviation Explains abbreviations used in a diagram
  Activation/Frequency This button will indicate when or how often a step or process needs to be executed.
  Authority/Authorisation Shows specific authorisation details about a step or process.  This could include alternate authority, for example.
  Checklist Shows a list of actions, documents, criteria, etc. that will be applicable to a step OR links or specifies a checklist form.
  Definitions Provides definitions of terms used in a process or diagram.
  Document Documents, apart from Procedures, Task Procedures, Policies, etc. can be linked from this button.
  E-mail When a step specifies that an e-mail needs to be sent, a link can be made to activate the e-mail application.
  Environment Wherever an environmental issue is addressed, this button can be used to indicate it.
  Form/Template Any form/template that needs to be completed during a step can be linked or referenced from this button. 
  Information This button can be used when more “formal” or “standard” information is used to clarify a step.
  Input Wherever an input is indicated, this button may be used.
  Internet Explorer When a link is made to a web page, this button can be used.
  ISO Where a particular clause of an ISO Standard is addressed, this button may be used to indicate that.  It will be linked to the specific clause in the Standard's View or it will contain a reference to the clause.
  IT Any IT-related information or issues can be specified using this button.
  Legislation Whenever reference is made to specific legislation OR something related to legislation is noted OR a link is made to a web site containing legislation, this button is used.
  Note This button will be used to link to more general information applicable to a specific step.
  Output Wherever an output is indicated, this button may be used.
  Overview Wherever an overview of a process or division is included, this button will be used.
  Policy Wherever a policy is linked or referenced, it is indicated using this button.
  Procedure Wherever a Procedure is linked or specified, this button can be used.
  Quality Wherever a quality issue is addressed, this button can be used.
  Record This button is used to specify documentation required to be kept for record keeping purposes by legislation, procedures or standards .One button next to the start shape of the procedure will link to a list of records required for that procedure.
  Safety Wherever a safety issue is addressed, this button may be used.
  Safety and Health Wherever a safety and health issue is addressed, this button may be used.
  Standard Operating Procedure Wherever an SOP is linked or specified, this button can be used.
  Standard Whenever a company Standard is addressed, linked or specified, this button can be used. This button also indicates relevant clauses of Standards.
  Task Procedure Wherever a Task Procedure is linked or specified, this button can be used.
  Terminology Explains terminology used in a diagram
  Register This button links to the Risk register from the BHPBilliton HSEC Standard.

Parallel Steps

When steps in a process are executed by different responsibilities or Departments at the same time, it is shown as follows:

 

 

 

 

 

 

 

Organisational Chart Guidelines

The Standard does not dictate what an organisational chart should look like.
